New Release of IntraVision OnTime Meeting Manager Improves Instant Collaboration

COPENHAGEN – 18 Jan 2011: IntraVision announces the latest release of their OnTime Meeting Manager tool for IBM Lotus Notes and Domino collaboration software.

The new release – OnTime Meeting Manager 9.0 – enables organisations to efficiently manage more than 15 meeting rooms at a time, with data now capable of being shared between multiple resource databases. This new release makes it possible to ensure that the right people are invited, at the right time, to the right place, and that the equipment and refreshments required are all coordinated well in advance with catering, HR and other relevant company departments.

Multiple Resource Databases

Version 9.0 of OnTime Meeting Manager enables users to book a variety of resources (people, rooms, equipment etc.) from multiple resource databases. This new release also includes a section entitled "Other Rooms and Resources" which reveals the available meeting rooms and resources from other corporate databases so as to deliver real improvements to internal workflows and the organisation’s overall efficiency.

Robust Rescheduling

Another new feature of OnTime Meeting Manager is the rescheduling tool, which automatically updates entries made in the organisation’s resource databases every time a change is made to a meeting appointment in Meeting Manager.

Enhanced features in this release of OnTime Meeting Manager include:

• Meeting Focused – Meeting Manager has had a design facelift that now enables users to more easily find the resources and the availability required to book meetings
• Sync Validation – Any meeting created in Meeting Manager now issues alerts whenever a sync has not been completed, preventing further edits from being made until the sync has been fully executed
• External Visitors Number – A new field has been added allowing users to add the number of external visitors attending a meeting and then communicating this information to the departments concerned (guest reception, security, catering etc.)
• New Print Option – Another new feature is the “View by Serving Time” tool that allows users to select a date and a canteen they wish to print out a booking on, and which also displays all orders by serving time, for each selected date and canteen
• Catering Export – “Add Order Items” has been developed for this new release which enables users to add order items to a new row in each export file generated
• Catering Re-Approval – A new improvement to “Catering Status” means that only changes related to date, time and catering items required are now displayed

IntraVision offers new OnTime Group Calendar Interface for IBM Lotus Notes and Domino

COPENHAGEN – 18 Jan 2011: IntraVision announces a completely revised version of OnTime Group Calendar Interface for IBM Lotus Notes and Domino collaboration software, due to be released in March 2011.

The new OnTime Group Calendar Interface will be a more graphically rich, natural evolution for users seeking a user-friendly, drag-and-drop group calendar interface that is fully integrated with Lotus Notes.

The new OnTime Group Calendar Interface aims to improve organisational cooperation through increased, one-click functionality and more autonomy for users to assign time and resources efficiently.

Enhanced features in the forthcoming release of OnTime Group Calendar Interface include:

• Flexibility – Users will be able to create their own groups from a centrally-governed contact database. This database can be defined by each organisation according to the roles it requires and the privileges associated with each role.
• Access – Each user can enable anyone in the central database to view and/or create appointments in their personal calendars. This will make it easier and faster for colleagues to identify availability, make appointments and allocate the necessary resources from one, simple interface.
• Previews – Another new feature in this next release will be collapsible preview panes allowing users to see contact details, current and future availability and create appointments for other users.
• Freetime – The new Interface will enable users to identify when another user has a pre-defined time slot available and to reserve that time for an activity in one click.
• Instant Meeting – Users will be able to chat via the interface on IBM Lotus Sametime, thereby improving workflows and reducing downtime across the organisation.
• Re-allocation - The new main calendar screen will provide users with a simple drag-and-drop feature that allows them to reassign users to appointments already scheduled for a colleague. For example, if a client wishes to reschedule an appointment to a new time which is not possible for the co-worker previously assigned to this appointment, users will now be able to just drag and drop the entry to another colleague’s calendar that is available at this new time. These changes will then be instantly updated in the user’s calendar and the relevant colleagues will be informed via email.
• Multiple Timeframes – The interface will reveal calendar information by individual days, weeks and months as before, but a new feature will allow users to set the pre-defined time ranges they wish to view (for example, 30 December and five days forward), resulting in it being faster to identify the people and resources required.
