Version 3.6.7

BUG FIXES

In addition to the specific bugs mentioned below, we have fixed some minor stability issues and other minor bugs.

ONTIME BACKEND

  • Fixed an issue where multiple changes to the same mail account did not get properly processed. If a process was already active the subsequent requests were ignored and only processed when a new synchronisation process occurred.
  • Fixed issue where a call to ews would hang for an indefinite period of time

IMPROVEMENTS

ONTIME BACKEND

  • Deletions now happen simultaneously in Exchange and OnTime. Much faster response in the UI for the OnTime user.
  • Language for notifications to a meeting host is now based on the hosts OnTime language.

ONTIME BACKEND

  • Fixed an issue in the backend subscription which was a result of the rewrite of the subscription code in version 3.6.0. The result was that people, rooms and resources did not get synchronised until a manual directory and a restart of the system

IMPROVEMENTS

ONTIME DESKTOP CLIENT

  • Support for create / edit / accept repeated entries / invitations is a very popular request for OnTime features. In this version, we are adding accept of individual entries or the entire set of dates for a repeated meeting. Create and edit are scheduled for releases in the near future.
  • Unresponded invitations/notices older than 8 days are now filtered away from the notices panel.
  • Test results from customer environments have shown that increasing memory pool settings for the Apache Tomcat improves overall performance. The initial memory pool has been raised from 128MB to 1.024 and Maximum Memory Pool has been increased from 256MB to 2.048MB

ONTIME ADMIN CLIENT

  • This version increases the time period for which entries are synchronised to a maximum of 4 years.
  • This version removes the limit of 1.000 entries as a maximum that can be synchronised.

ONTIME BACKEND

  • This version increases the time period for which entries are synchronised to a maximum of 4 years.
  • This version removes the limit of 1.000 entries as a maximum that can be synchronised.
  • This version includes a complete rewrite of the subscription code which triggers a synchronisation. With this change, we expect the subscription to be more resilient and easier to troubleshoot if an issue arises.

ONTIME DESKTOP CLIENT

  • Fixed an issue where an error was thrown if switching to really large groups (+2.000 members).
  • Creating a new group, choosing manual sorting, adding people, sorting them around and then removing one, would sort the users alphabetically.
  • Fixed an issue where days available in the date picker depended on time zones and therefore would change in the middle of a day.
  • Fixed an issue where view scroll was not updated when adding additional users to a selection based on "Show Selected".

ONTIME BACKEND

  • Fixed an issue where when a directory group was added to OnTime and then a member was added to the group in the LDAP server, then the member was added to OnTime but was not added to the directory group in OnTime.

  • Fixed an issue where the URL forwarder would stop responding and had to be restarted
  • Fixed an issue where users could get duplicated in the viewer if the email was changed. If LDAP was used the issue would occur if both the DN and the email was changed. 
  • Fixed an issue with delegating access if the domain names were the same on the on-premises and the Office365 side without running in hybrid
  • Fixed an issue which could occur when shared groups became orphans
  • Fixed an issue which could occur if the values for auto-discovery or max entries were set to values not supported by Exchange. These settings can no longer be managed from the OnTime Admin UI and are therefore now controlled by default.

IMPROVEMENTS

ONTIME DESKTOP CLIENT

  • Delegating Access Using OnTime Roles. This version introduces the ability to delegate access using OnTime Roles. With OnTime Roles you can centralise the delegation of roles to the administration; meanwhile, users will still be able to grant personal access to specific people or departments. Roles add to rights already delegated to the user by other users, i.e. the rights are accumulative.
  • To support the new role system, we have introduced a new type of groups "Linked AD Groups". These groups are a way of pointing to an AD group, where the group name was not previously added to the system. The members of the Linked group in OnTime will only be those members of the AD group that have already been added to the system by a domain profile. The new Linked Groups can also be made available to users in the UI, and they are not restricted to only being used with the Role system.
  • Work with Formatted Text, Images, and Files – Directly from the OnTime Interface. We have added a new HTML editor which lets the user edit the description/body field of an entry. In previous versions of OnTime, it has been possible to include an unformatted text description at the time of the creation of the entry. In 6.1 it is now possible to create a rich text, formatted version of the description field. The field can include images and files can be attached.
  • Private groups are now sharable, which means that for any new or existing private group you can choose to share it. If you share the private group, you can choose who can use the group (Shared with) and who can maintain the group (owners).
  • Accept/Decline Meetings from the OnTime UI. OnTime introduces the possibility of responding to invitations directly from OnTime. Additionally, this feature lets secretaries manage meeting invitations on behalf of others through the Single Person View mode.
  • Edit accepted subject/location of invitations (meetings)
  • In 2018 Oracle announced that they would not post further updates of Java SE 8 to its public download sites for commercial use after January 2019 unless customers had a commercial support contract. To stay current and avoid further licensing costs for our OnTime customers, we have upgraded the Java version to Java 11 and further, we make use of the Open JDK which is free to use.
  • OnTime now supports both LDAP and LDAPS. The Lightweight Directory Access Protocol (LDAP) is used to read from and write to Active Directory and is by default transmitted unsecured. You can make LDAP traffic confidential and secure by using Secure Sockets Layer (SSL) / Transport Layer Security (TLS) technology. The secure transport is now supported in OnTime. This requires that you have installed a properly formatted certificate from either a Microsoft certification authority (CA) or a non-Microsoft CA.

ONTIME ADMIN CLIENT

  • The nighly event sync which previously ran at 2 am (server time) has been improved in the following ways:
    • The process is now multi-threaded to reduce execution time
    • It is now possible to configure on which weekdays the process should run
    • It is now possible to configure at which time (server time) of the day the task should run on the specified weekdays

ONTIME MS TEAMS

 With version 3.0.0 we have integrated the full OnTime Group Calendar into MS Teams, and created some special MS Teams related features in the calendar, which are:

  •  When you open the Group Calendar tab in MS Teams it will always give you an up to date view of the members of the team, meaning that the Group Calendar is automatically updated if someone leaves or joins the team.
  • The "This Team" button will allow you to always return to just seeing the people who are in the team you are accessing OnTime through, this is useful since you can navigate around in your own and the organisational groups from MS Teams.
  • The "Team meeting" button will create a meeting invite with everyone from the team as required invitees on the first available time slot, which you can then edit the details of and use the "Find Free Time" button to get a list of other possible time slots.

OnTime in MS Teams is an addition to the core product allowing all OnTime users to add this to their everyday group calendar experience at no extra cost.

  • Added a Mail Based Authentication workflow to request a token for OnTime even if you are not using the Add-in for Outlook.

ONTIME MOBILE WEB

  • URL´s in the location field of the business card can now be launched by clicking it.
  • When creating a meeting invitation, it is now possible to click "Find Free Time" which will provide a list of possible time slots for the meeting.

ONTIME BACKEND

  • We have added support for multiple domains. This means that users in the group calendar can originate from multiple sources. It is also possible to create invitations across domains. It is not possible to create direct entries in calendars for users from other domains than your own. The domains can be a mix of Exchange on-prem and Exchange online(365) domains. In this version sharing of permissions across domains is limited to the default / My Organisation level. On our roadmap is a role system which will allow for a much more granular level of sharing inside and across domains.
  • Java updated to version 8u172
  • Tomcat updated to version 8.5.30
  • sqljdbc updated to 6.4.0.0
  • Improved security in the token model. This could in some cases result in users having to provide user name / password when loginthe the first time after the upgrade.

  • Fixed an issue where it was possible to submit the same poll twice.

  • It is no longer possible to create groups without adding a name to them.

  • Added a missing index to the SQL db which greatly increases the search speed when selecting rooms.
  • Fixed several issues in the OnTime permission synchronisation
  • Fixed an issue where the Connection to the SQL Server could be lost and result in termination of the subscription service

  • Missing cmd file to install Pollarity Tomcat manually
  • Fixed a situation where install of the Pollarity Tomcat would exit if the db could not be created. The process now install the Tomcat and the db can be created at a later point should this situation occur.
  • Fixed an error in the install script which resulted in new OnTime installations failing during creation

Version 2.7.0

IMPROVEMENTS

ONTIME WEB DESKTOP 

  • Added a URL link detector to the description field. Amongst other things, this feature allows you to add links to meeting resources such as Skype for Business meetings
  • Working hours have been added to the Desktop client. The working hours can be enabled / disabled by the user, and they are configured from the settings menu. In OnTime working hours can be configured individually for each workday
  • The date of a scheduling conflict has been added to the top of the conflict dialogue when scheduling a meeting

ONTIME POLLARITY

OnTime Pollarity helps your organisation reduce the time needed to decide upon a common time slot for a meeting. This is achieved by polling the intended participants by sending out meeting invitations. OnTime Pollarity is a new add-on in version 2.7 which includes:

  • Ability to manage polls from the OnTime browser interface (if Pollarity is enabled in the license key)
  • Active polls are visible in the poll participants' individual mail files. Polls can be shown as Busy / Tentative or Free
  • A new Pollarity database which stores active polls
  • New mobile and desktop browser voting pages for external participants

WEB ADMIN

  • Static Groups max number in lists extended to 200,000
  • A Show All option has been added to the admin interface. If this is set to "Yes" the group will include all users when displayed

ONTIME BACKEND

  • Updated JVM to latest security release
  • The Free Time Search has been modified so that tentative entries are displayed as busy

  • Swedish language is not supported in 2.7 at the time of release. If you do upgrade to 2.7 and you were previously running the clients in Swedish, the clients will fall back to English
  • Aligned name format for people with the Web Mobile
  • Fixed an issue where the organizer is missing after a reload of the interface
  • Fixed an issue where the the user's own mail address was added to the "To" field when sending a mail

  • The new Meeting Assistant helps you in finding the right time for your meetings. It becomes active once you select multiple users. Some of the main features of the Meeting Assistant are:
    • To the right of the people selected you will see a new check box. This check box shows whether this user will be included in the free time search. If you deselect a user more meeting slots are likely to be available. Even if you deselect a person, that person will still be included in the invitation
